The questions you will face from IT, administrators, and decision-makers when onboarding to MentorLearn Cloud.

"Does this require our simulators to join the hospital domain?"
No. This is the most common misconception. The simulator does not need to be on the hospital's Active Directory domain or internal network. It only needs outbound internet access - the same requirement as a browser visiting a website. A dedicated VLAN or guest Wi-Fi is the recommended and preferred setup.
"What URLs need to be whitelisted?"
For Full Cloud: outbound HTTPS to *.mentorlearn.com and the associated AWS endpoints for the customer's regional instance. For Controlled Cloud, Surgical Science provides a specific allowlist of URLs and IP ranges on request. No inbound connections are required under any model.
"Is any patient data stored? What about HIPAA?"
No patient data is stored - none at all. MentorLearn Cloud is a training management platform. It stores performance metrics for simulator users and account information only. It is not a clinical system and is not subject to HIPAA requirements because no Protected Health Information (PHI) is collected or processed.
"Where is the data hosted?"
MentorLearn Cloud is hosted on Amazon Web Services (AWS). Customer data is organized into regional instance groups to support data residency requirements and performance. The specific region depends on the customer's geography. Contact your Surgical Science account manager for data residency specifics.
"Can we use Single Sign-On with our identity provider?"
Yes. MentorLearn Cloud supports SSO via OAuth 2.0 / OIDC, with Okta and Microsoft Entra (Azure AD) as the primary supported identity providers. Accounts are provisioned automatically via Just-in-Time (JIT) provisioning on first login - no pre-registration required.
"What happens if connectivity is lost during a session?"
If connectivity is lost mid-session, the session is saved on the simulator. Training can continue in offline mode. Once connectivity is restored, a manual data sync is required to upload the session data to MentorLearn Cloud. The Cloud dashboard requires connectivity to access, but the simulator itself does not.
"How are software updates handled?"
Platform updates are deployed automatically by Surgical Science - no action required from the customer or distributor. Simulator firmware updates are pushed via the cloud connection and can be scheduled for off-hours. This is a key operational advantage over standalone mode: the customer is always on the latest version without any IT effort.
"IT says no external internet connections are allowed. What now?"
Start with education - this is often a blanket policy statement rather than an absolute technical constraint. Walk IT through exactly what is required (outbound HTTPS only, no inbound, no domain join, no PHI). In most cases, a guest Wi-Fi or VLAN resolves the concern by isolating the simulator from the clinical network. If a genuine policy block remains after this conversation, escalate to your Surgical Science account manager before proposing an Offline or Dongle fallback.
"Our customer has standalone simulators already. How do we migrate to Cloud?"
Migration from standalone to MentorLearn Cloud is a structured onboarding engagement. The process: confirm connectivity readiness, activate the Cloud tenant, import existing user lists, train the administrator. Historical standalone session data has limited migratability - set expectations accordingly. The value pitch is eliminating manual USB sync and data export workflows the customer currently relies on, and unlocking advanced features that are only available in connected mode.
